researching in depth to FIND SUITABLE VENUE. Negotiating rates, investigating contractual terms and conditions, ensuring meeting rooms, catering, accommodation, venue services etc are of a high standard
LIAISING WITH DELEGATES, including controlling delegate bookings, confirming bookings, resolving queries, producing delegate lapel badges, maintaining database of delegates, sending out joining instructions and any other delegate material
arranging the PRODUCTION - working with client and production company to ensure the audio visual requirements are of a high standard
liaising with other SUPPLIERS, including printers, floristry, insurance company, photographers, AA/RAC etc
liaising with SPEAKERS pre-meeting and on site
making TRAVEL arrangements, if required, booking delegate travel requirements by air, road, rail
preparing comprehensive BUDGETS, collecting delegate fees, paying expenses and providing detailed financial statement upon completion
setting up delegate REGISTRATION procedure on site - providing our own staff or hostesses, if required
ATTENDING THE EVENT to ensure that everything runs smoothly and efficiently
liaising with client and regular meetings, if required, to keep the team FULLY BRIEFED on our activities and progress
